Dear Wedi et al,

Following inputs from you as well as Jayalath I am formulating a request to the hotel for a final quotation on the following lines:

Conference Package -

Registration 9.00 a.m on wards           - Welcome Fruit drink ?low sugar

10.30 a.m.                                           - Tea with short eat - pastry, chinese roll ?cake

12 on wards                                        - buffet lunch with good spread of veggies, fish meat & poultry (request menu)

4.00 p.m.  /4.30 p.m                           - Evening tea with snacks

Use of conference hall and amenities

Expected No. of guests                     - 60+

Dinner Dance           

7.30 p.m. to 11.30 p.m.

Buffet dinner                                     - at Rs 5000/- per head

Calypso Band                                  - Rs 15000/- (500/- added to cost of ticket)

Separate hall for D&D 

Bites to be ordered and paid for at the table

Expected number of guests            - 30+

Number of Tables                           -  5 -6

Room reservations               

All on Bed & breakfast basis               

Expected No of room reservations   - 15

Jayalath has suggested that all monies should be collected by the hotel. not sure if that can be done as payments have to be made is advance.

Do let me know what the rest of the committee thinks before I send it on to the hotel for a final quotation. We should then be able to send out the final circular with a form that has to be filled and returned.

Dear  Assa.

This  looks   good.

Let  the Hotel  decide  on  the   Cost  of  the  Dinner.   If  we  can   add the  cost of  the  Music Band  to  the   dinner  ticket

it  would  simplify  accounting.

Let  the  Corkage   and  Bites   and   Shandy   be  paid  by  the  members of  the  table  directly to  the  hotel.
