Booking  of  Hotel  Rooms

Dear Assa.

Now that we have almost completed our task of organising the Re Union , it is time to write to the membership about the manner of makings reservations of Hotel Rooms.

Please get in touch with the person handling hotel accomodation , to advise us on.

1. Whom to contact in the Hotel. Whether by e mail , or telephone.

2.. Method of payment of the Booking advance. Use of Credit Cards will be convenient.

3. The date before which the Bookings have to be made.

4. Refund Policy of the Hotel..

I have a list of names of those who requested Hotel Rooms , on 6^th July &, 7^th July. There is one for 8^th July as well.

I can forward this to you , when required. This list may be given to the Hotel through your assistant , if necessary , so that the Hotel may grant concessions promised , to all who contact the Hotel directly through Internet.

I am copying t his to all in the Organiser Group ., for comments & suggesstions.

I think this message has to reach our membership before the end of this month.

Contents noted. hope to talk to my son's PA this evening once she gets back from an overseas assignment. Are we planning any sort of "conference" or talks for which a multimedia projector etc. are needed.

The Hotel says:

Multimedia Projector & Screen   : Lkr 6500/- Nett per projector per day. 

The following conference facilities will be offered with the package                                            
•        Fully Air Conditioned Meeting Room with Free Wi-Fi Access
•        Magi Board, Flip Charts

My  dear  Carlyle

Chitra  has  written  to  me    that  you  had  wanted  some  matters   cleared    about  the   charges  for  this  event.

I am  attaching  a  copy  of  the  tentative  programme  to  this  mail.

Please   read it.   You  may  not  have  received  it  before.

At  the  time  of  Registration  ,   you  pay  Rs  3500.00  ,per  person  , to  cover  the  cost  of    Lunch  &    , morning  and  evening   tea.

For   those   NOT STAYING  IN THE  HOTEL.  the  cost  of  the   Gala Dinner  &  Dance  will be  Rs  5000.00  +  500.00.   The  latter is  for  music  Group.

For  those  WHO BOOK IN TO THE  HOTEL  for  the  7th   night  ,  The  Gala Dinner  will  cost  only  and  additional  Rs 2000.00 +  Rs  500.00  per person.

We  are  trying  to  sort  out  from  the  Hotel   what  is  meant  by  Full Board  (FB) .   .  I  believe  it  is    Dinner  &  Breakfast next  day ,  because   we  all  pay  for  lunch  on  the  7th  seperately.

Hello Assa.

To  me  these  rates  look  very  good.

Few  points to  straigtened  out.

1.  Hotel charges  given  does  not  show   Full Board Rates.

It  only  shows  rates  for  Half  Board  (Dinner  &  Breakfast.   )   and   B&B.

Who pays  for  the   Food  & Drinks   for  the   Calypso  Band.

Pro  rated  charges  for  the  Music  band    ,  is  it   15000.00  divided  by  the  number  of  dinners. ?

We  should  get     clear  instruction  about   booking  of   Rooms ,   , whom  to  contact ,  whether   Credit  Card  payments  over 

the  internet  is  accepted  or  not.

My response to the info requested is as follows;

Few Comments:

a. It would be simpler if the response is made simpler but what the responders could do is to send their responses without further delay to enable the Organisers( you & very others so far) to get the numbers attending the whole event and the number of rooms required so that you can negotiate for a improved deal.

b. The circulation list needs appears very limited and unsure if they are reaching everyone. We also need to assist you & the organiser team by sharing this info with our close mates as much as possible.

c.  The dinner package appears to be relatively expensive at present whilst the day event and the room charges appear quite reasonable ( compared to present charges quoted around).

d. Guns  has made few valuable suggestions but some of these should be easily resolved once we have the basic numbers sorted out.
